Filtering Administered Items
Filtering is the act of entering search criteria to find records in the registry that meet those criteria. The search screens in each entity allows you to specify search criteria and find the values that meet the criteria. Entities are accessible from the list of favorites in the Favorites menu or on the Home page, by searching for the entity name through View > Search, or through Manage > Manage Data.
OneData applies the following rules to search criteria:
Search criteria is not case sensitive.
OneData applies an
and condition when criteria is entered in multiple fields.
OneData retrieves all the records for an object when no criteria is specified.
In text fields, the search retrieves records that match the search string entered. For example, a search for “Date” would retrieve hits on BIRTH_DATE and DATE_OF_EXPIRATION.
The Filter tab user interface functions are as follows:
The
Values tab ignores any filter criteria entered and displays all records for the entity for which the user has at least read privileges.
The
Next button retrieves the records that match the all filter criteria.
The
Browse icon displays the details of a record.
OneData displays the
Edit icon to users with sufficient security privileges to edit the record. Click Edit to modify the record.
The lookup arrow beside a field allows you to choose from the list of valid values that are displayed in the resulting dialog box. Depending on how the Registry application is configured, the dialog box can be similar to an extensive filter page (for example, from a data element edit searching for a value domain).
The
Clear Filter icon clears all the search criteria.
The following table lists the common attributes for basic administered item filters:

Common Attribute | Description |
Administered Item Types | Select one or more administered item types to search. If nothing is highlighted or the All Item Types is highlighted, then the search applies to all administered item types. |
Preferred Name | The user can specify multiple names (called designations in ISO/IEC 11179) for a given administered item. When an administered item is created, the first name given to it is recorded as the preferred name. Alternate names may be of different name types (for example, abbreviation, XML tag, or name). |
Definition/Description | Definition of the administered item. |
Statuses - Registration status, Workflow status | Search is enabled on both registration status and administrative or workflow status. |
Data Identifier | Unique identifier for an administered item within a registration authority. |
Context | This is the context of the administered item. |
Latest Version or All Versions | Retrieves only the latest version or all versions of an item. |
Stewardship attributes | Depending on the security access privileges, user can search by organizations (submitter, steward, registration authority) or by contact (submitter, steward, registrar). |

Three types of filtering are available for searching within the OneData Registry:
Basic Filtering. Search by any of the basic attributes of an entity. This includes attributes relating to stewardship, submission, registration, and classification.
Advanced Filtering. Perform complex searches that involve querying for additional attributes and conditions that are not available in the simple search scenario.
Dependent Entity Filtering. Search for values on a key entity where the criteria specified are on one of its sub-type or referenced entities. For example, search for all administered items of type, Value Domain, where the format is X or the conceptual domain is Y.
Note: | Dependent entity searches are only available for composite objects such as administered items. |
